Privacy policy. What we keep and why.
This page explains what dallaseventaudio.com collects when you visit, ask a question in the chat, or send us a quote request, which services help us handle it, and how to reach us about any of it. It was last updated on 23 September 2026 and applies to every page on this site.
What we collect and what it is for
Most of what we know about you, you tell us on purpose, so we can quote and run your event.
Three ways information reaches us
The quote form on the contact page asks for your name, email, phone, event date, venue and a description of the event so we can write a quote. The AV Concierge chat keeps what you type so it can answer you and, if you choose to leave a name and a phone number or email, so we can follow up. And when you call, text or email us, we keep that thread the way any small business keeps its correspondence.
Alongside that, the site records the ordinary things every website records: the pages you visited, roughly where you were, the device and browser you used, and which ad or search result brought you here. That part is described under analytics below.
How the chat works
The chat at the bottom of every page is ours, and every conversation is kept. Here is what that means.
Where your messages go
The concierge runs on Cloudflare and its replies are generated by Claude, an AI model made by Anthropic. Each message you send, together with the earlier messages in that conversation, goes to Anthropic to produce the reply. Anthropic processes it under its commercial API terms, which keep customer data out of model training.
When you send your first message the chat makes a random conversation id and keeps it in your browser tab only, so the conversation survives moving between pages and ends when the tab closes. It is a session value rather than a cookie, and it is used only to keep that one conversation together. Under that id we store the conversation, the page it started on and the time, in our own Cloudflare database. Each morning we read a summary of the previous day's conversations to learn which questions people ask and where the chat fell short, and we use that to make it more helpful.
If you give the concierge your name and a phone number or email, that becomes a quote request. It is emailed to us and kept with the other leads, and we contact you about your event the same way we would if you had used the form. If you would rather a conversation of yours be deleted, email [email protected] with the date and roughly when you chatted and we will remove it.

HoneyBook keeps the file for your event
The quote form on our contact page is provided by HoneyBook, the client management service we run the business on. What you enter goes to HoneyBook and to us. From there your quote, contract, invoices and the messages we exchange about your event live in HoneyBook, under its own privacy policy, and you can reach us there or by email at any point. We use your details to quote and deliver your event and to answer you afterwards, and that is the whole list.
Once the form is sent you land on our thank-you page, which is where the site records that a quote request happened, so that our advertising knows which ads bring us real events.

Four services, and what each one sees.
Google, Meta and Cloudflare
Google Analytics records the pages you visit, how long you stay, the device and browser, an approximate location from your IP address, and the search or ad that brought you here. We use it to see which pages are working and which ones need attention. Google Ads conversion tracking notes when a visit that started from one of our ads ends in a quote request, and the Meta pixel does the same for visits that started on Facebook or Instagram. Both let us pay for the ads that bring real events and stop paying for the ones that bring none. Cloudflare Web Analytics counts visits and page speed anonymously, and leaves your browser as it found it.
Google and Meta set cookies to do this and may combine what they see here with what they know about you from elsewhere, under their own privacy policies. You can limit that in your Google account's ad settings, in your Facebook ad preferences, and with your browser's cookie controls, and the site keeps working either way.
The site is hosted on Cloudflare Pages, and like every host Cloudflare keeps short-lived server logs, including your IP address, to run and protect the site.
How long we keep it, and who sees it
The people who see your information are us and the services named on this page.
It stays with us and the services that help us
Your information stays with Dallas Event Audio and the services described above: HoneyBook for quotes and event files, Anthropic for generating chat replies, Google, Meta and Cloudflare for analytics, advertising and hosting, and the email service that delivers chat leads to our inbox. Each of them handles it in order to provide that service to us. We would hand it to anyone else only if the law required it.
Quote requests and event files are kept for as long as we might work together again, because clients come back year after year and the record of what worked in their room is part of the service. Chat conversations are kept so we can keep improving the concierge. You can ask for any of it to be deleted, and unless we are required to keep a record, for instance a signed contract or an invoice, we will delete it.
This site is written for adults planning events. If a child has sent us something, tell us and we will remove it.
