What a General Session Rig Consists Of
The general session is the big room: opening remarks, the keynote, the awards, the close. When we quote one, it breaks into four systems that get specified separately and then have to behave as a single rig on the day.
Sound comes first, because the room decides it. A long, deep ballroom wants a line array so the back rows hear the same speech level as the third row. A wider, shallower room is usually better served by point-source boxes, which cover the width without throwing energy down the length of a space that does not have any. Either way there is a mixer at front of house with a technician behind it for the whole session, riding levels as the presenters change.
There is rarely just one microphone on a general session stage. A lavalier on a presenter who stays behind the lectern, a headset on anyone who paces or gestures, a podium mic rung out with a person standing at it rather than at an empty lectern, and a handheld or two on stands for questions from the floor. Every one of them runs through our De-Feedback system, which hears the frequencies that are about to ring and pulls them down before the room does. That matters most on a stage with an open podium and a wireless lav sitting a few feet from a speaker cabinet.
Projection gets specified from two numbers: throw distance and how much light is in the room. A screen that reads beautifully in a darkened ballroom washes out once the house lights come up for a panel, so the projector and screen get sized to the worst lighting condition on the run of show. Confidence monitors go downstage so the presenter can see their own slides without turning around, and a switcher sits between the laptops so the handoff from one deck to the next takes a button press instead of a cable swap in front of a full room.
Stage lighting does two jobs at once. It puts enough front light on faces that people at the back of the room and anyone watching the stream can read expression, and it separates the stage from the room so the eye knows where to go. If the session is being recorded or streamed, the lighting stops being decoration and becomes part of the camera specification.
All four go in during one load-in, get line-checked together, and are run by the same crew that built them.
What Happens to a Breakout Room in a Fifteen-Minute Gap
Breakouts look like the easy part of a conference and they are the part that goes wrong most often, because the schedule gives them no slack. A session ends at 10:15 and the next one starts at 10:30, and in that window somebody has to get a new presenter mic’d, a new laptop on the screen and a new set of slides up, in three or four rooms at once.
The way we handle it is to do almost all of that work before the conference starts. Every breakout room is built and line-checked in the same load-in as the general session, hours before the first attendee walks in: self-contained sound sized to the room, a display or projector, a wireless handheld and a lavalier, and the cabling run and dressed so nobody is stepping over it. Each room is labeled to its own place on the schedule, so a technician walking in during the gap knows which room they are in and what is supposed to happen in it.
Batteries get changed on our schedule rather than when they die. It is a small thing until a lav goes quiet halfway through a session, and it is the kind of thing a technician assigned to the room catches first.
During the day the crew moves between breakouts on the turnover rather than on the emergency. The presenter for the next session gets mic’d while the previous one is still taking questions, the laptop gets tested on the switcher before the room empties, and the level gets set with the new voice rather than inherited from the last one. When a breakout runs long, and one always does, the schedule absorbs it, because the work was already done that morning.
The general session and the breakouts are one production for us: same load-in, same crew, same schedule. That is what keeps a session change on time.
