Three things move that number: how many people have to hear you, whether anything has to go on a screen, and whether delivery, setup and an on-site operator are part of the price. What is included in an AV equipment rental in DFW?

How much does AV equipment rental cost in Dallas?
These are the ranges we quote most often in the DFW market, with delivery and setup included:
Small meeting or party, up to 75 guests: typically $350 to $900. Two powered speakers, one or two wireless mics, a mixer.
Wedding ceremony and reception, 100 to 250 guests: typically $1,200 to $3,500. A separate ceremony system outside, a reception system inside, wireless mics and uplighting.
Corporate meeting with a screen, 100 to 300 attendees: typically $1,500 to $4,000. Projector, screen, podium and lapel mics, speaker support, and a technician on site all day.

How many speakers do I need for my guest count?
Indoors, with a normal ceiling and carpet on the floor, this is where most DFW events land:
Up to 75 guests: two powered speakers on stands.
75 to 200 guests: two speakers, plus a subwoofer once there is dancing.
200 to 400 guests: two speakers, two subwoofers, and often a delay pair at the back of a long room.
400 guests and up: a line array, which throws evenly to the back row instead of blasting the front three tables.
Move the same crowd outdoors and the requirement roughly doubles, because there are no walls to keep the sound in. A 150-guest backyard ceremony often needs what a 300-guest ballroom needs. Do I need a projector and a screen?
If anything has to be read from the back row, yes. The question that decides the quote is how much light is in the room. A dim ballroom with the house lights down works with a standard projector and a matte screen. A hotel meeting room with windows on one side, or a lunch session where people need to see their plates, needs a brighter projector and an ambient light rejecting screen. Should I rent the gear or hire someone to run it?
Dry rental works when someone in your group has run a mixer before and the event is a background-music-and-one-mic situation. Once you have a ceremony, toasts, a slideshow and a dance set in the same night, an operator pays for himself in the first cue. Somebody has to set levels with a person standing at the altar, ring out the podium mic before the keynote, and change a battery on schedule rather than when it dies. How far in advance should I book AV equipment rental in Dallas?
Six to eight weeks is comfortable for a wedding or a corporate event in spring or fall. December holiday parties book earliest, often by September, because every company in DFW wants the same three Fridays. We do take short-notice bookings when the gear is free, so call and ask.
Do you deliver outside of Dallas?
Yes. Fort Worth, Frisco, McKinney, Plano, Richardson, Southlake, Rockwall and Waxahachie are all part of our regular route, and delivery to those cities is included in the quoted price.
Can I pick up the equipment myself?
Smaller packages such as a two-speaker PA with a mic can go out as a customer pickup. Projectors, line arrays and anything that needs rigging go out with our crew, because the setup is where those systems either work or do not.
What happens if it rains at an outdoor event?
We plan a covered position for the mixer and the amplifiers at the site visit, and we bring covers for the speakers. If the venue has an indoor backup space, we walk it in advance so the move takes minutes instead of an hour.
Is a deposit required?
A retainer holds the date and the gear, with the balance due before the event. The amount is on your quote, and the quote is itemized so you can see exactly what the retainer is holding.
